Holmes Oil Fleet Fueling . . . . A Great Tool For Security and Savings

With our system, each vehicle is assigned a card and each driver is assigned a unique identification number - one can't be used without the other.  Drivers enter the current odometer reading of the vehicle at the time of purchase along with their identification number.  With all that information captured electronically, we bring you ultimate control in fleet fueling.  Holmes Oil Fleet Fueling program offers you reporting and payment options to suit your business.  You choose the program options* that fit your business needs such as:

  • Vehicle Analysis Report (VAR) - The VAR helps monitor driver purchases, as well as vehicle performance and efficiency every month.
  • Tax Reporting & Exemptions - If your fleet is tax exempt, Holmes Oil will deduct certain fuel taxes from your monthly invoice (depending on the state in which your business resides).  You receive a monthly tax summary that saves you time, money and paperwork.

  • Flexible Exception Reporting - You establish the purchase guidelines for your drivers.  Flexible Exception Reporting tracks monthly variances against those guidelines and summarizes them on a separate report.
  • Weekly Billing and Reporting - We offer options that allow you to monitor fleet transactions more frequently or receive invoices on a schedule that better suits your cash flow.
  • Electronic Fleet Payment System (EFPS) - You receive discounts on total purchases and enjoy the added security and convenience of electronic payment. 

 

Holmes Oil Fleet Fueling . . . . Better Control and Less Paperwork

  • When the drivers of your fleet's vehicles use the
    Holmes Oil Fleet Fueling card, we automatically capture transaction data, sort it into a customized program and ultimately provide you with the latest in management reporting.  Depending on the type and number of vehicles in your fleet, you'll want to choose from one of the two complimentary card options listed below:

    Card Option #1

    By selecting this card option, each month you will receive the Vechicle Analysis Reports (VAR), which supplies complete management information to provide maximum security and control.  The following is provided monthly for each vehicle in the fleet:

    • Driver's Name
    • Date, Time and Location of Each Purchase
    • Product(s) Purchased
    • Odometer Reading
    • Gallons Purchased
    • Price Per Gallon
    • Total Purchase Amount
    • Cost Per Mile
    • Miles Per Gallon

    To make the VAR even more valuable to you, we provide departmental summaries, as well as month-to-date and year-to-date summaries. 

  • Card Option #2

  • For businesses that want less detail on their drivers' purchases, we offer the Standard Card Activity Summary,  a concise report of monthly purchases by card.  Fleets selecting this option receive a monthly report providing the following information:

    • Card Used
    • Date, Time and Location of Each Purchase
    • Dollar Amount of Each Purchase

    The Standard Card Activity report provides sub-totals by card and summarized totals for the account.
